Terms & Conditions
Last updated: 2026. These terms govern the hire of any vehicle from Velor Vehicle Rentals.
Important — read before publishing: this is a structured template, not legal advice. Every clause below needs reviewing against your actual insurance policy, your company details and UK consumer law, ideally by a solicitor, before the site goes live.
1. Definitions
"We", "us", "our" and "Velor" refer to Velor Vehicle Rentals, a company registered in England and Wales (company number to be inserted). "You", "your" and "the Hirer" refer to the person named on the rental agreement. "The Vehicle" means the vehicle supplied under that agreement, including its keys, documents, accessories and equipment. "Rental Period" means the period from the agreed collection or delivery time to the agreed return time.
2. Eligibility to Hire
- The Hirer must be at least 25 years old for standard vehicles and at least 30 years old for performance, supercar and grand tourer categories.
- The Hirer must hold a full driving licence, valid in the United Kingdom, held continuously for a minimum of two years.
- The licence must carry no more than six penalty points, and no convictions for drink-driving, drug-driving, dangerous driving or insurance offences within the last five years.
- We require a DVLA check code generated within 21 days, photographic ID, and two proofs of address dated within 90 days.
- We reserve the right to decline any hire, or to cancel a confirmed booking and refund in full, where verification cannot be completed to our satisfaction.
3. Booking & Payment
A booking is confirmed only once we have issued a written rental agreement and received the required deposit. Quoted rates are inclusive of VAT unless stated otherwise. The rental balance is payable in cleared funds before or at the point of delivery. We accept credit and debit cards in the Hirer's name; cash is not accepted for deposits.
4. Security Deposit
A refundable security deposit is taken before the Vehicle is released. The amount varies by vehicle category and is stated on your rental agreement. The deposit is held against damage, loss, fines, excess mileage, fuel shortfall, cleaning and late return. Any unused balance is returned within seven working days of the Vehicle being returned and inspected.
5. Cancellation & Amendment
- More than 7 days before collection: full refund of the deposit.
- 3 to 7 days before collection: 50% of the deposit is retained.
- Less than 72 hours before collection, or no-show: the deposit is retained in full.
- Amendments are subject to availability and may alter the price. We will always tell you the new price before confirming a change.
- If we cancel for any reason other than a failed verification or breach by you, you receive a full refund of everything paid.
6. Delivery & Collection
Delivery and collection within 20 miles of our operating base is included in the quoted rate. Beyond that, a per-mile charge applies and will be stated on your quote. Someone authorised to sign the handover documents must be present at the delivery address at the agreed time. If we are kept waiting more than 30 minutes, a waiting charge may apply. Late returns are charged at the daily rate plus a late fee for each part-day.
7. Use of the Vehicle
The Vehicle may only be driven by drivers named on the rental agreement. The Vehicle must not be:
- used on any racetrack, circuit, airfield, drag strip or off-road terrain;
- used for hire and reward, courier work, driving tuition, or any motorsport or timed event;
- used to push, tow or propel any other vehicle or trailer unless expressly agreed in writing;
- driven by any person under the influence of alcohol, drugs or any substance impairing driving ability;
- taken outside mainland Great Britain without our prior written consent;
- used to carry more passengers or a greater load than it is designed for;
- used in the commission of any offence, or in any way that invalidates the insurance policy.
Smoking and vaping in the Vehicle are prohibited. Pets may only be carried with prior agreement and appropriate protection. A specialist cleaning charge applies where the Vehicle is returned in a condition requiring more than a standard valet.
8. Mileage & Fuel
Unless otherwise agreed, each rental includes 150 miles per day. Additional miles are charged at the per-mile rate shown on your rental agreement. The Vehicle is supplied with a full tank (or full charge) and must be returned the same. Where it is not, we recharge the fuel or energy used plus a refuelling service fee.
9. Insurance & Excess
Comprehensive insurance is included for named drivers within the terms of our policy. A standard insurance excess applies to every claim, and is stated on your rental agreement. Excess reduction may be purchased at booking. The insurance does not cover damage arising from any breach of clause 7, from wilful or reckless acts, from driving under the influence, or from unauthorised drivers — in those circumstances you are liable for the full cost of repair, recovery and loss of hire.
10. Damage, Loss & Recovery
The Vehicle is photographed and documented at handover and on return; both records form part of the agreement. You are responsible for damage occurring during the Rental Period, up to the insurance excess where the claim is covered, and in full where it is not. Charges may also include loss of hire for each day the Vehicle is off the road, recovery costs, and a reasonable administration fee. Tyres, wheels, glass, interior damage and lost keys are chargeable items.
11. Fines, Charges & Tolls
You remain responsible for all parking charges, speeding fines, congestion and clean-air zone charges, tolls, and any other penalty incurred during the Rental Period. Where a notice is issued to us, we will transfer liability to you and charge a per-notice administration fee.
12. Breakdown & Accidents
Every rental includes 24-hour UK roadside assistance. In the event of a breakdown, contact us before arranging any repair or recovery; unauthorised repairs will not be reimbursed. In the event of an accident you must stop, exchange details, report the incident to the police where required by law, and notify us as soon as it is safe to do so. Do not admit liability. Where the Vehicle is immobilised through no fault of yours, we will supply a replacement of similar specification where one is available.
13. Limitation of Liability
We are liable for losses you suffer as a result of us breaking this agreement where those losses are a foreseeable consequence of the breach. We are not liable for indirect or consequential loss, including loss of profit, missed appointments, missed travel connections or loss of opportunity. Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else which cannot lawfully be limited. Nothing in these terms affects your statutory rights as a consumer.
14. Privacy & Data
We collect and process personal data — including your name, contact details, licence details, identity documents and payment information — for the purposes of verifying eligibility, fulfilling the rental, meeting our legal obligations, and pursuing fines or claims. We process this data under the UK GDPR and the Data Protection Act 2018, on the bases of contract performance, legal obligation and legitimate interests.
Data is retained for as long as necessary to meet those purposes and any statutory retention period, and is shared only with our insurers, payment providers, enforcement authorities and, where a claim arises, our legal advisers. We do not sell personal data. You have the right to request access to, correction of, or erasure of your data, to restrict or object to processing, and to complain to the Information Commissioner's Office. Our website uses only the cookies necessary to operate it. If analytics or marketing cookies are added later, a consent banner will be provided.
15. Complaints
If something goes wrong, tell us. Complaints should be sent in writing to our email address and will be acknowledged within two working days and answered in full within fourteen. We would always rather resolve a problem directly than have it escalate.
16. Governing Law
These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction. If any clause is found unenforceable, the remaining clauses continue in force. We may update these terms from time to time; the version in force is the one published on this page at the date your rental agreement is issued.
